TEDxJakarta: Journey To Return Stage and Venue Design Behind the Scene

Domisilium Studio was a proud supporter, sponsor, stage designer and volunteer of TEDxJakarta's 7th Event titled Journey To Return. The event was held on August 13 2011 at The Fine Arts Theatre of Jakarta International School. It was definitely a Journey to return for our Design Principal, where she did her first stage design project took place at the same theatre almost exactly 12 summers ago.
The event was a huge success. Tickets were sold-out within 46 minutes online and it inspires more than 700 audiences through-out the day. We cannot be happier how at the end everything worked very smoothly. Nevertheless, there were some hiccups happened and problem solving skill were put to the test.

For this project the tasks and challenges were:
1. A limited budget.
2. This is our maiden involvement with TEDxJakarta team but yet this is their biggest event ever.
2. The stage were enormous, we had to create an effective backdrop to frame the speaker, without distracting the audience focus on the speaker.
3. We have to design using materials that is easy to assemble and dissemble, as well as reuseable for future events.
4. Limited time and labor for construction. They only allowed a day before the D-day for installation. We were all have to be hands on during the production and installation.
5. There are also some TEDx guideline compliance that we need to follow.
6. This is the first time JIS hosting this and none of the volunteer team are familiar with the venue.
7. Creating a "mobile" TEDx Corner. Items should be easy to transport, store and reusable.
8. Venue space planning to create good traffic flow.
9. Incorporating indoor and outdoor social spaces to encourage interaction among attendees during the breaks.
10. Arranging strategic locations for logistics, sponsors and speaker booths.

For the solutions we need to think about practicality, re-usablity, budget concern while still maintaining a clean professional look :
1. As a team, the TEDxJakarta Creative crews decided to explore the option of using paper cores used in textile mills as the means to roll-up the textile itself. At first we were going to go on scavenger hunt at the usual suspects locations, Passer Baroe and Mayestic where thousands of textile stores located. The hunt didn't bear any satisfying results. Finally, we decided to call paper core mills in Jakarta and Tangerang to be able to get some and purchase some of their rejected products.
2. There were 2 different kind of design modules for the paper cores. The taller partition units were consisted of 14 separates modules (each around 1m in length and 160cm in height) shaped in slight curves to maintain stability when standing on its own without any anchor to the floor. The shorter partition units were consists of 250 pieces. They were all attached to each other to create a sturdy base for glowing TEDxJakarta signage. Again we decided to do this solely based on storing and transportable practicality.
3. Each modules were fastened using screws only which can be dismantled to allow different configurations and design in the future.
4. The TEDxJakarta neon sign on the stage were designed according the TEDx standard. It is made from colored acrylic and lit-up using LED lights to ensure it's longevity and low wattage usage. The sign itself is divided into 3 different modules for transport, assembly and storing practicality.
5. Green plants and palm trees were borrowed from the nursery at JIS, we are very lucky to have JIS as our venue sponsor.
6. We designed 2 knock-down tables (donated from one of our sponsors GUSTO SIGN) made from laser cut MDF to hold our merchandise and a laptop for display purposes, made 2 posters as backdrop.
7. A huge X signage, again thank you GUSTO SIGN.
8. Arrangements of red blown-up chairs courtesy of ACE HARDWARE and beanbags for indoor and outdoor to create social spaces.
9. Repetitions of paper core partitions arranged such way to create "pods" as speaker booths at the lobby area to encourage interactions between speakers and attendees during break times.

We would like give a big thank you to all JIS staffs at the Fine Arts Theatre building for being super helpful. Also, kudos to all Creative Team Volunteers for the great teamwork. Nevertheless, the whole TEDxJakarta core team and volunteers. We were all strangers prior to this event and now look how we bonded even stronger by supporting this organization's great cause. It was an honor for us to be a part of such an inspiring group. Click here to learn more about TEDxJakarta. Check out this link for those who is still confuse what is TEDx. Photos from the event.
